Privacy Policy

Introduction

Ninth International LLC, doing business as AutomateBetter ("we", "us" or "our"), registered in New Hampshire, respects your privacy. This Privacy Policy describes how we collect, use, disclose and secure your personal information when you visit our website or use our services. We only use personal data to provide our services, for our own marketing, and to show customers information relevant to themselves.

1. Information We Collect

We collect different types of personal data:

  • Data you provide: names, email addresses, company names, job titles, phone numbers, payment and billing details, and any other information you submit via our forms or when scheduling calls.
  • Data collected automatically: IP addresses, device and browser type, pages visited, and interactions via cookies and similar technologies.
  • Data from third parties: information received from analytics tools, payment processors and authentication providers.

2. How We Collect Data

We collect personal data through:

  • Account registration, contact and scheduling forms, surveys and support requests.
  • Automated tracking technologies such as cookies, pixels, web beacons and server logs.
  • Third-party integrations (e.g., payment gateways, analytics, marketing tools).

We use HubSpot to manage discovery inquiries and newsletter signups and to understand visits to our public website. When you allow analytics cookies and identify yourself through a form, page visits may be associated with your contact record. We may also include the article topic you requested and consented browsing interests with your inquiry to make our response more relevant.

Private video links report page views and playback activity to the sender. Activity is associated with the recipient link, so activity from a forwarded link may appear under the original recipient. Email unsubscribe links let you stop future marketing emails.

On public pages, HubSpot's configured consent settings govern its tracking and cookies. Our own analytics-consent checks control the visitor cookie included with inquiries, stored article interests, and optional public-site attribution following a private video visit; they do not prevent the HubSpot loader or page-path queue from running. Referral and campaign information, including advertising click identifiers, the first page URL, and a referrer when available, are stored separately in browser local storage without an analytics-consent gate or configured expiration. URLs can contain query parameters, so avoid putting sensitive information in them. Use Cookie settings in the public-site footer to revisit HubSpot choices, and your browser controls to clear cookies or local storage. Withdrawal clears stored article interests and stops their inclusion in inquiry context; it does not delete submitted records or email correspondence.

Discovery and newsletter forms send the details you submit, the page address, and the page title to HubSpot. Discovery inquiries can include campaign values and requested topics without analytics consent. After a successful discovery submission, Calendly receives your name and email as prefilled scheduling details. Google serves font resources used by the public React website and blog, independently of analytics consent. If you allow analytics and previously opened a private video link in the same browser session, public page paths and visit events may be linked to that visit through the separate video-activity service. Private-link playback reporting is separate from this optional public-site attribution and is not controlled by the public HubSpot cookie settings.

3. Legal Basis for Processing (where required)

We process personal data only when we have a legal basis to do so. Depending on your jurisdiction, this may include:

  • Consent (e.g., when you subscribe to marketing communications).
  • Contractual necessity (to perform our services or respond to your inquiries).
  • Legitimate interests (improving our services, detecting fraud, and securing our platform).

4. How We Use Information

We use collected data to:

  • Provide, maintain and improve our services, respond to inquiries and manage accounts.
  • Analyse website usage and service performance.
  • Send service-related communications, updates and marketing messages (with user consent).
  • Personalise content and recommendations.

We do not sell personal data. We only use it for our marketing and to provide information relevant to users.

5. Data Sharing

We do not sell, rent, or share your personal information, including phone numbers, with third parties or affiliates for their marketing or promotional purposes.

We may share information with service providers who assist us in operating our business, including:

  • Payment processors for secure payment transactions.
  • Analytics providers to understand user interactions.
  • Customer support systems and email service providers (to send communications on our behalf).
  • Cloud hosting providers.

These service providers process data solely on our behalf under confidentiality agreements and are prohibited from using your data for their own marketing purposes. We may also disclose data when required by law or to protect our rights.

6. SMS/Text Messaging and Mobile Information

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. Data Retention and Deletion

We retain personal data only as long as necessary for the purposes described in this policy and to comply with legal obligations. Users may request deletion of their data; we will respond in accordance with applicable laws.

8. Data Subject Rights

Depending on your jurisdiction, you may have rights to access, correct, delete or restrict the processing of your personal data. To exercise these rights, please contact us using the details below.

9. Security

We implement industry-standard security measures to protect personal data, including encryption in transit (HTTPS) and at rest, multi-factor authentication for administrative access, and regular security audits and monitoring.

10. International Data Transfers

If we transfer personal data across borders, we do so under appropriate safeguards, such as standard contractual clauses or equivalent measures.
